We are accepting VENDOR applications 

Downtown Oxford events come alive with small businesses, crafts people, food purveyor, services, and many more. Event goers want products that capture their interest; services that helps their family; and activities that brings them joy within their budget. We are looking for vendors who can provide this.  What you gain as an Oxford Mainstreet vendor is a great opportunity to meet the community and understand their needs from the inside.  This may help you open your own storefront in our charming town.  Come join us.  

Vendors (not Food Trucks) are $75 per event

Food truck vendors: $75 for Car Show (September) and $75 for Hometown Harvest (August); $55 each, for others

Attention Nonprofits: Oxford Mainstreet has decided to not charge nonprofits and will review applications for limited spots on a case-by-case basis.  Please fill out the application form (same as for-profit) for each of the event that you would like to vend.  We are focusing on nonprofits that support our community directly ie: volunteering for our nonprofits, supporting veterans by providing service, contributing to Oxford volunteer programs, supporting our schools and much more.  We welcome school clubs, 4H and Scouts to name a few.  Please state this information in the description box.

By submitting your vendor application you are stating that "I have read and understand the below rules and regulations and will abide by them throughout my association with Oxford Mainstreet, Inc's First Friday. I understand there will be no refunds issued."

Please note that OMI does not offer exclusivity to vendors or products. Our goal is to get the right mix for each event that our attendees would appreciate.

NO refunds two weeks prior to show date. NO EXCEPTIONS, INCLUDING WEATHER

Our event goers are looking for quality goods and services that reflect their hometown – fun, unique, well-priced and memorable. Most will return time after time which means that it is important that we offer a variety of goods and experiences.

First Friday is an outdoor event that will take place in a variety of weather conditions; please dress accordingly and come prepared to fasten down any tents, tables, chairs, literature, etc. that you bring..

Each vendor will be permitted to occupy one (1) space measuring 10 feet by 10 feet. Spaces will be assigned by the Oxford Mainstreet, Inc. staff and volunteers prior to the event.

Oxford Mainstreet, Inc. prioritizes vendor applications based on the event theme, product and/or service description provided by the business, available spaces and the mix of vendors and sponsors. You will be asked to provide a list of goods and products in the application form.

Vendors are required to provide a copy of their liability insurance naming Oxford Mainstreet and the Borough of Oxford as coinsured. This must be received in good order when payment is due (please see fees and payment). Please let us know in the application form if you will be submitting alternate proof of liability such as a home insurance.

Fees and Payment Per Event

$75 - For-Profit Vendors represent any for-profit businesses, organizations, and entities. These can include, but are not limited to, clothing/jewelry stores, crafters, home goods shops, etc.

*Even if you are not selling goods and services at the event but your business is a for-profit entity, you must sign up as a for-profit vendor.

Non-Profit Vendors represent any not-for-profit entities and organizations. FREE and reviewed on a case by case manner. Please apply for each event separately. You have a nonprofit designation such as 501 c3; 501 c4; 501 c5; 501 c6 or 501c7.

We are focusing on nonprofits that support our community directly ie: volunteering for our nonprofits, supporting veterans by providing service, contributing to Oxford volunteer programs, supporting our schools and much more. We welcome school clubs, 4H and scouts to name a few. Nonprofit vendors must submit their proof of non-status to Oxford Mainstreet during application. This is reviewed on a case-by-case basis which means that you will need to apply for each of the vending dates. We will not review your application without proof of non-profit status.

We understand that this may provide hardship for small vendors or nonprofits and we are willing work with you in a limited capacity. Special request can made and are reviewed on a case-by-case basis to info@oxfordmainstreet. Please state in your application form and apply early.

There will be no refunds unless the event is canceled by Oxford Mainstreet staff.

Applications are received on a rolling basis and you can apply now for events scheduled for the entire year. We suggest that you apply early to all that interests you. Application does not guarantee acceptance and placement in all the events that you requested. Some events are more popular than others and we have very limited space.

Please note that applications for specific dates are closed 2 weeks prior to the event. We cannot guarantee that spaces will be available after that. You can try.

Once application has been accepted, a payment link will be sent to you indicating your acceptance. If you applied for multiple dates, the email will state which event you are placed, (which may be on stand by) and the total fee for placed vending space is due. Remember that if you are a business and applied for all 8 First Fridays, and you are accepted for all 8, your fee will be $8 x 75 = $600. Please plan accordingly.

We will need your COI form submitted at the time of payment. Please email to info@oxfordmainstreet.com with COI (your business name) in the subject line or mail to PO Box 315, Oxford PA, 19363. If you are vending for the first time and do not have a COI, please indicate on the application that you will have alternative proof of liability such as home owner insurance.

Payment can be mailed to Oxford Mainstreet by check payable to Oxford Mainstreet: PO Box 315, Oxford PA 19363. Please write “VENDOR fee and the event date” on the check. Please call (610) 998-9494 if you need to hand deliver your payment.

Vendors will receive a confirmation email when payment is received.

If you are not able to attend, please call the OMI office. No refund will be furnished if you withdraw your participation.

Vendor Sales

Vendors must post prices of each item offered clearly.

OMI does not offer exclusivity to vendors.

Sales Tax Vendors are responsible for collecting applicable state sales tax and reporting all sales to the Pennsylvania State Department of Revenue, if applicable.

Vendors are individually responsible for conforming to all applicable local, state and federal laws.

Oxford Mainstreet reserve the right to ask the vendor to remove offensive products or signage. Failure to do so will constitute immediate termination.

Hours of Operation

All vendors must be open from 5:00 p.m. to 8:00 p.m.

No booth may be left unattended during this time.

Tearing down and/or leaving before 8:00 p.m. can result in being barred from future events.

Set Up

Set up begins at 4:00 p.m.

A member of the OMI team will reach out closer to the date of the events with information regarding vendor location assignments.

Vendors are not permitted to set up in front of or within 4-feet of doors, driveways or parking lot entrances.

BID Merchants may set up in front of their businesses.

Vendor is responsible for providing tables, chairs and a tent (10’ x 10’, if desired). Electricity access is not provided. All vendors must ensure tables, awnings, cords or any other items present no hazard to attendees.

Vendors may bring their vehicle onto the closed streets between 4:00 p.m. and 4:50 p.m. to unload. All setup must be completed and vehicles removed from the streets by 4:50 p.m. sharp.

It is strongly recommended that vendors park on the street, unload all of your items, and then relocate your vehicle to make room for other vendors. If you arrive after 4:50 p.m., you must park your vehicle in the garage and carry supplies to your location.

No cars are permitted to drive or park on the Edward Jones Lawn. Gray Alley off of E. Locust Street must remain clear at all times.

Parking

Vendors are not permitted to park in the Neff Physical Therapy, La Sicilia, Boston Market or the Firehouse parking lots. Doing so will jeopardize the smooth operations of the event. If this is a repeated, we will terminate the contract.

Parking is available in the parking garage, Municipal Broad Street Parking Lots and on any open street. Download the Flowbird App for available parking spaces. Breakdown begins at 8:00pm. Vendors may be able to drive their cars into the closed streets to load up if event staff or police are present.

Restrictions

Vendors are not allowed to “ROVE” with their merchandise, handouts, etc. at any time.

No booth may be left unattended during hours of operation (5pm to 8pm).

No alcoholic beverages, illegal substances, loud music, television or “hawking” is allowed.

All First Fridays are family events. OMI reserve the right to remove items or to terminate your contract. No fees will be refunded.

Items promoting the use of illegal substances as defined by Oxford Mainstreet, Inc. will not be allowed.

Sale or promotion of any items/print materials with malicious intent, vulgar language, or hateful remarks will not be tolerated. OMI reserve the right to remove items or to terminate your contract. No fees will be refunded.

Security

Your booth and contents remain your responsibility. Neither Oxford Mainstreet, Inc., nor the Oxford Borough, assumes responsibility for injury to persons, or loss or damage to any property of the vendor’s, including theft.

In submitting this application, applicant agrees to comply with all First Friday, state and local regulations, and to save and hold harmless Oxford Mainstreet, Inc., their employees, officers, sponsors and agents from any loss or damage to any persons or property caused by applicant’s operation in connection with First Friday, and further agrees to defend said Associations for any claims for such damage.

Violation of these rules, regulations, and guidelines is at the sole discretion of Oxford Mainstreet, Inc. and Oxford Mainstreet, Inc. has no duty to justify its decisions. Oxford Mainstreet, Inc. reserves the right to deny any vendor application from vendors and organizations for any reason. Oxford Mainstreet, Inc. reserves the right to ask vendors to leave the event, with no return of the vendor fee, for any reason.

Oxford Mainstreet, Inc. does not discriminate based on sex, gender, political affiliation, religious affiliation, etc.

By purchasing a vendor space, I, the purchaser, have read and agree with the First Friday Vendor Rules set by Oxford Mainstreet, Inc (OMI). I understand and agree that there will be no refunds and that the decisions of OMI are final. Further, I hereby release and forever discharge OMI, their agents and representatives from any responsibility, personal liability, loss, claims or damages arising out of or in connection with any First Friday Event.

The Oxford Village Market is an outdoor market that will take place in a variety of weather conditions; please dress accordingly and come prepared to fasten down any tents, tables, chairs, literature, etc. that you bring. Each vendor will be permitted to occupy one (1) space measuring 10 feet by 10 feet. Oxford Mainstreet, Inc. may prioritize vendor applications based on types of vendors already registered. Vendors are required to provide a copy of their liability insurance.

Fees and Payment

Oxford Village Market fees are $30 for the whole season. This rate will be halved on the first market day in August to $15. There will be no refunds unless the event is canceled by Oxford Mainstreet. Application and payment must be received two weeks before the event to secure a space at the event. Applications may be accepted with less than two weeks' notice if there is space available, but it is not guaranteed. Payment information will be provided by Oxford Mainstreet. Vendors will receive a confirmation email when payment/application is received. If you are not able to attend please call the OMI office. No refund will be furnished if you withdraw your participation.

Sales

Vendors must post prices of each item offered. OMI does not offer exclusivity to vendors. All vendors must ensure tables, awnings, cords or any other items present no hazard to attendees. No cars are permitted to drive or park on the Edward Jones Lawn. Gray Alley off of E. Fees and Payment

The fees for 2024 will be as follows: For all First Friday's (with the exception of August and September), Food Truck fees will be $55 per event. For August and September, the fee will be $75 per event. There will be no refunds unless the event is canceled by Oxford Mainstreet. Your payment must be received two weeks before the event to secure a space at the event. Payment can be submitted via the Oxford Mainstreet website or delivered in-person to Oxford Mainstreet by check or cash. Vendors will receive a confirmation email when payment and proof of insurance is received. If you are not able to attend please call the OMI office at 610.998.9494. No refund will be given if you withdraw your participation.
