2023 Vendor Information

Thank you for your interest in joining us at our events in Downtown Oxford! We can’t wait to welcome you and show off our town and community. Being a vendor is more than selling at our event. Setting up a vendor space in Downtown Oxford gives you the opportunity to meet the community, establish yourself in our charming little town, and see if Oxford is the place for you to open your very own storefront!

Vendor Application

The vendor application process has changed from previous years. Vendors must apply  for each month they would like to participate in. The application for the next First Friday will open on the Monday after the previous one, ex: June 2nd’s First Friday Application opens on Monday, May 8th (the Monday after May 5th’s First Friday). Applications will close two weeks prior to the event or when capaity is met – whichever comes first. We will be posting on social media when vendor applications are open and closed so we recommend following our social accounts.

Vendor spaces will now be assigned ahead of each event. Please provide the email address best suited to receive information on vendor location, set-up, rules, and more.

Applications are no longer being accepted for October 6th’s First Friday.

The application for November 3rd’s First Friday will open on Monday, October 9th.

FIRST FRIDAY VENDOR RULES AND EXPECTATIONS

By submitting your vendor application you are stating that "I have read and understand the below rules and regulations and will abide by them throughout my association with Oxford Mainstreet, Inc's First Friday. I understand there will be no refunds issued."

Vendors

Vendors are welcome and encouraged to join us for our First Friday events. Oxford Mainstreet, Inc. strongly encourages vendors to bring interactive displays, games, raffles, etc., especially to those who will not be selling items. First Friday is an outdoor event that will take place in a variety of weather conditions; please dress accordingly and come prepared to fasten down any tents, tables, chairs, literature, etc. that you bring.

Each vendor will be permitted to occupy one (1) space measuring 10 feet by 10 feet. Spaces will be assigned by the Oxford Mainstreet, Inc. staff and volunteers prior to the event. Oxford Mainstreet, Inc. may prioritize vendor applications based on the event theme, description provided by organization on what they will be doing at First Fridays, types of organizations already registered, and types of organizations that are in the process of submitting applications. Vendors are required to provide a copy of their liability insurance.

Fees and Payment

The fees are outlined on our website as well as the Vendor Application Form. There will be no refunds unless the event is canceled by Oxford Mainstreet. Application and payment must be received two weeks before the event to secure a space at the event. Applications may be accepted with less than two week notice if there is space available, but it is not guaranteed. Payment can be submitted via the Oxford Mainstreet website or delivered in-person to Oxford Mainstreet by check or cash. Vendors will receive a confirmation email when payment/application is received. If you are not able to attend please call the OMI office. No refund will be furnished if you withdraw your participation.

Sales

Vendors must post prices of each item offered. OMI does not offer exclusivity to vendors. Sales Tax Vendors are responsible for collecting applicable state sales tax and reporting all sales to the Pennsylvania State Department of Revenue, if applicable. Vendors are individually responsible for conforming to all applicable local, state and federal laws.

Hours of Operation

All vendors must be open from 5:00pm to 8:00pm. No booth may be left unattended during this time. Tearing down and/or leaving before 8:00pm can result in being barred from future events.

Set Up

Set up begins at 4:00 p.m. A member of the OMI team will reach out closer to the date of the events with information regarding vendor location assignments. Vendors are not permitted to set up in front of or within 4-feet of doors, driveways or parking lot entrances. BID Merchants may set up in front of their businesses. Vendor is responsible for providing tables, chairs and a tent (10’ x 10’, if desired). Electricity access is not provided. All vendors must ensure tables, awnings, cords or any other items present no hazard to attendees.

Vendors may bring their vehicle onto the closed streets between 4:00 p.m. and 4:50 p.m. to unload. All setup must be completed and vehicles removed from the streets by 4:50 p.m. sharp. It is strongly recommended that vendors park on the street, unload all of your items, and then relocate your vehicle to make room for other vendors. If you arrive after 4:50 p.m., you must park your vehicle in the garage and carry supplies to your location. No cars are permitted to drive or park on the Edward Jones Lawn. Gray Alley off of E. Locust Street must remain clear at all times.

Parking

Vendors are not permitted to park in the Neff Physical Therapy, La Sicilia, Boston Market or the Firehouse parking lots. Parking is available in the parking garage, Municipal Broad Street Parking Lots and on any open street. Download the Flowbird App for available parking spaces. Breakdown begins at 8:00pm. Vendors may be able to drive their cars into the closed streets to load up if event staff or police are present.

Restrictions

  • Vendors are not allowed to “ROVE” with their merchandise, handouts, etc. at any time.
  • No booth may be left unattended during hours of operation.
  • No alcoholic beverages, illegal substances, loud music, television or “hawking” is allowed.
  • Items promoting the use of illegal substances as defined by Oxford Mainstreet, Inc. will not be allowed.
  • Sale or promotion of any items/print materials with malicious intent, vulgar language, or hateful remarks will not be tolerated.

Security

Your booth and contents remain your responsibility. Neither Oxford Mainstreet, Inc., nor the Oxford Borough, assumes responsibility for injury to persons, or loss or damage to any property of the vendor’s, including theft. In submitting this application, applicant agrees to comply with all First Friday, state and local regulations, and to save and hold harmless Oxford Mainstreet, Inc., their employees, officers, sponsors and agents from any loss or damage to any persons or property caused by applicant’s operation in connection with First Friday, and further agrees to defend said Associations for any claims for such damage.

Violation of these rules, regulations, and guidelines is at the sole discretion of Oxford Mainstreet, Inc. and Oxford Mainstreet, Inc. has no duty to justify its decisions. Oxford Mainstreet, Inc. reserves the right to deny any vendor application from vendors and organizations for any reason. Oxford Mainstreet, Inc. reserves the right to ask vendors to leave the event, with no return of the vendor fee, for any reason.

Oxford Mainstreet, Inc. does not discriminate based on sex, gender, political affiliation, religious affiliation, etc.

By purchasing a vendor space, I, the purchaser, have read and agree with the First Friday Vendor Rules set by Oxford Mainstreet, Inc (OMI). I understand and agree that there will be no refunds and that the decisions of OMI are final. Further, I hereby release and forever discharge OMI, their agents and representatives from any responsibility, personal liability, loss, claims or damages arising out of or in connection with any First Friday Event.

Oxford Village Market Vendor Rules and Expectations

Vendors

Vendors are welcome and encouraged to join us at the Oxford Village Market. The Oxford Village Market is an outdoor market that will take place in a variety of weather conditions; please dress accordingly and come prepared to fasten down any tents, tables, chairs, literature, etc. that you bring. Each vendor will be permitted to occupy one (1) space measuring 10 feet by 10 feet. Oxford Mainstreet, Inc. may prioritize vendor applications based on types of vendors already registered. Vendors are required to provide a copy of their liability insurance.

Fees and Payment

Oxford Village Market fees are $30 for the whole season. This rate will be halved on the first market day in August to $15. There will be no refunds unless the event is canceled by Oxford Mainstreet. Application and payment must be received two weeks before the event to secure a space at the event. Applications may be accepted with less than two weeks' notice if there is space available, but it is not guaranteed. Payment information will be provided by Oxford Mainstreet. Vendors will receive a confirmation email when payment/application is received. If you are not able to attend please call the OMI office. No refund will be furnished if you withdraw your participation.
